Troubleshooting Login Issues and Multi-Factor Authentication (MFA)

Updated Oct 30, 2025 • 3 min read

If you are unable to access your AIVRA account, the primary steps involve password reset and verifying your MFA setup.

Password Reset Guide:

  1. Click the "Forgot Password" link on the centralized login gateway.
  2. Enter the organization email address associated with your seat.
  3. Check your spam/junk filters if the reset token does not arrive within 5 minutes.
  4. For hardware token failures, please reach out to your local admin for a manual bypass.

MFA Troubleshooting:

  • Sync Error: Ensure your device's system time is synchronized with global NTP standards, as TOTP validity is time-dependent.
  • Lost Device: Contact your organization's Administrator to request an MFA reset or recovery via your secure backup codes.

Administration

Adding, Removing, and Managing User Roles and Permissions

Updated Oct 28, 2025 • 4 min read

The Organization Administrator maintains full governance over team members and their respective data access levels within the AIVRA ecosystem.

Standard RBAC (Role-Based Access Control):

  • Administrator: Unrestricted control over billing, identity management, and all project environments.
  • Developer: Full access to build, edit, and deploy automation workflows. Excludes billing and user management.
  • Viewer: Read-only access to monitoring dashboards, system logs, and deployed instance telemetry.

Inviting New Personnel:

  1. Navigate to the 'Users & Teams' tab in your Admin Console.
  2. Select 'Invite User' and enter the verified corporate domain email.
  3. Assign the required Role and execute the invitation.
  4. Invitations expire after 7 days if not accepted via the secure link.

Security

Generating, Revoking, and Securing Your API Keys

Updated Oct 25, 2025 • 3 min read

API keys provide high-level programmatic access to AIVRA core engines and must be treated with the same confidentiality as root passwords.

API Security Protocols:

  • No Hard-Coding: Never embed keys in source code. Utilize encrypted environment variables or hardware security modules (HSM).
  • Instant Rotation: Regenerate keys immediately upon any suspected leak or personnel offboarding.
  • Least Privilege: Use scoped keys that provide access only to specific environments (Sandbox vs. Production).

Governance

Permanently Deleting Your AIVRA Account or Workspace

Updated Oct 20, 2025 • 2 min read

Deleting a workspace is an irreversible administrative action that purges all associated automation logic and historical data.

Pre-Deletion Checklist:

  1. Data Export: Backup all workflow definitions and transaction logs before initiating the purge.
  2. Subscription Termination: Ensure all active billing cycles are reconciled.
  3. Multi-Step Auth: Finalizing deletion requires a specialized confirmation code sent via secure email.
  4. 90-Day Policy: All data is permanently wiped from our primary and backup storage systems 90 days after request.
